Optera Ltd (“Optera”, “we”, “us”, “our”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, share, and safeguard personal data when you visit optera.uk or otherwise interact with us. It is written to meet our obligations under the UK GDPR and the Data Protection Act 2018.

If you have any questions about this policy, contact us at enquiries@optera.au.

Who we are

Optera designs bio-inspired sensing technology for space and defence applications. For the purposes of UK data protection law, Optera Ltd is the data controller for personal data collected through this site.

What data we collect

We only collect personal data that is necessary for the purposes described below. Depending on how you interact with us, this may include:

  • Contact details — name, email address, company, job title, and any other information you provide when you fill in a form, send us an email, or apply for a role.
  • Application data — CVs, cover letters, and any supporting information shared via our careers channels.
  • Technical data — IP address, browser type and version, device information, referring URL, pages visited, and approximate location derived from your IP.
  • Cookie and analytics data — see the Cookies section below.

We do not knowingly collect data from anyone under the age of 16.

How we use your data

We process your personal data on the following lawful bases:

  • Responding to enquiries and providing information about our products and services — legitimate interests / pre-contract steps.
  • Reviewing job applications and managing recruitment — legitimate interests / pre-contract steps.
  • Operating, securing, and improving the website — legitimate interests.
  • Sending updates you have asked to receive — consent.
  • Complying with legal and regulatory obligations (including export-control requirements relevant to defence work) — legal obligation.

We will not use your personal data for any purpose that is incompatible with the one for which it was collected without first informing you.

How we share your data

We do not sell your personal data. We share it only with:

  • Service providers who help us run the site and our business — for example, hosting providers, email infrastructure, analytics tools, and form processors. These providers act as processors on our behalf and are bound by appropriate contractual terms.
  • Professional advisers — legal, accounting, and audit firms — where necessary.
  • Authorities and regulators — where we are legally required to do so, including to satisfy export-control or national security obligations relevant to our work in space and defence.
  • Successors in interest — in the event of a merger, acquisition, or restructuring.

Where personal data is transferred outside the UK, we rely on appropriate safeguards such as the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or adequacy regulations.

Cookies and analytics

This site uses cookies and similar technologies to make it work and to help us understand how it is used. You can manage your cookie preferences at any time through the cookie banner shown on first visit, or by clearing cookies in your browser. Strictly necessary cookies do not require your consent; all other cookies are set only after you opt in.

For more detail, see our cookie banner (powered by CookieYes) or contact us at enquiries@optera.au.

How long we keep your data

We keep personal data only for as long as we need it for the purposes set out above, or for as long as we are legally required to. In practice:

  • Enquiry correspondence — up to 24 months after our last contact.
  • Job applications — up to 12 months after a recruitment decision, unless you ask us to delete them sooner or to keep them on file for future roles.
  • Website analytics — aggregated and pseudonymised data retained for up to 26 months.

After these periods, we securely delete or anonymise the data.

How we protect your data

We use appropriate technical and organisational measures to protect personal data against unauthorised access, loss, alteration, or disclosure. These include access controls, encryption in transit, regular security reviews, and staff training. No system can be guaranteed 100% secure, but we work hard to minimise risk.

Your rights

Under UK data protection law you have the right to:

  • Access the personal data we hold about you.
  • Rectify inaccurate or incomplete data.
  • Erase your data (“right to be forgotten”) in certain circumstances.
  • Restrict or object to certain processing.
  • Data portability — receive your data in a structured, machine-readable format.
  • Withdraw consent at any time where we rely on consent.
  • Lodge a complaint with the Information Commissioner’s Office (ICO) at ico.org.uk.

To exercise any of these rights, email enquiries@optera.au. We will respond within one month.
